An Introduction

As the Client Representative, our role is to act as the client’s trusted advisor and single point of coordination across all project phases — from concept development to project handover. We ensure the client’s objectives, quality expectations, budgetary constraints, and timeline commitments are effectively translated into project outcomes. Serving as an extension of the client’s organization, we manage and oversee all aspects of the construction process to safeguard the client’s interests and maximize value throughout the project lifecycle.

Project Inception & Planning

Understand and document the client’s strategic objectives, functional requirements, and constraints.
Assist in the appointment and coordination of key consultants (architects, engineers, cost consultants, etc.).v
Develop the project execution plan, governance framework, and high-level project program.
Support feasibility studies, site selection, and permitting processes.
Advise on project delivery models, procurement strategy, and risk profile.

Design Phase Management

Coordinate and manage the design process across all disciplines to ensure alignment with the client’s vision, budget, and schedule.
Facilitate regular design coordination meetings and provide input on constructability and value engineering.
Review design documentation and flag deviations from client objectives or budget constraints.

Procurement & Contracting

Manage prequalification and tendering processes for contractors, suppliers, and consultants.
Prepare or review tender documents, RFPs, and bid evaluation reports.
Support contract negotiations and ensure proper contract documentation is in place.
Advise the client on contractor selection and contract award.

Construction Phase Oversight

Monitor construction activities to ensure compliance with design, specifications, timeline, and safety standards.
Attend site meetings, review progress reports, and track key performance indicators (KPIs).
Provide early identification of risks, delays, or cost variances and propose mitigation strategies.
Oversee quality assurance processes and coordinate independent testing or inspections as needed.
Review and validate contractor progress claims, variations, and payment certificates.

Cost & Time
Management

Maintain oversight of the project budget and cash flow.
Review and track all cost variations and recommend approval or rejection based on contractual entitlements.
Monitor project schedule and critical path; advise the client on program risks and recovery plans.
Provide monthly progress and financial reporting to the client.

Communication & Stakeholder Coordination

Act as the liaison between the client and all project stakeholders, ensuring effective communication and issue resolution.
Manage stakeholder expectations, ensure transparency, and maintain alignment throughout the project.
Organize and chair key coordination and decision-making meetings.

Handover & Close-Out

Oversee final inspections, commissioning activities, and snag list closure.
Coordinate the preparation and delivery of as-built documentation, warranties, and operation manuals.
Ensure smooth handover to the client’s operations and facilities management teams.
Support in the resolution of final accounts and contractor demobilization.

Claims & Dispute Management

Monitor and assess potential claims throughout the project lifecycle.
Support in the preparation, negotiation, or defense of claims in collaboration with legal or commercial advisors.
Advise on dispute resolution strategies and assist in achieving amicable settlements where possible.
